GEAPS Exchange 2012 -- Exhibitor Information

As an exhibitor at GEAPS Exchange 2012, there are only a few things you need to prepare for the big show. Here are three things to make sure you're ready for Minneapolis.

Get Registered

Every individual who is planning on coming to work in your booth as an exhibitor needs to register. Wait, didn't you register when you sent in your booth contract? No! Your contract reserves the booth space for your company, but we still need to know the individuals that will be working in the booth.

Why? There are a number of reasons. We would like to have badges and packets ready for your exhibitors to pick up when you arrive in Minneapolis. Your badges include your city and state, so we need to know where each of you are from. (Not everyone who exhibits for a company works from the main location.) Your badge will also show if you are a GEAPS member or not. Every exhibitor also receives ribbons and other perks in their packets, and we want to have all your materials ready when you check in. We also like to know how many people are coming to Minneapolis, which helps with our planning for the best conference in the industry.

Register online!
Exhibitors can easily register online. The system conveniently keeps track of how many complimentary registrations each exhibitor receives and how many they have already used.  Click here to access the online registration site.  You can also download a registration form (PDF) to fill out and mail/fax to GEAPS.

How many registrations does my company receive?
For every 10' x 10' booth you have at Exchange 2012, you receive two complimentary exhibitor registrations. Your exhibitor registration is good for all three days in the expo hall and gives you access to the hall when it's otherwise closed to attendees, like during setup, teardown or during educational sessions. Your exhibitor registration is also good for all the educational sessions and we encourage all exhibitors to take advantage of the wealth of industry knowledge shared at the GEAPS Exchange. Find out more about the educational program.

What's not included in the exhibitor registrations?
If you want to come to the Get-Acqauinted Party or the President's Banquet, you'll have to purchase a ticket. Also, if your spouse or guest is coming with you to Minneapolis, they will also have to purchase a registration to participate in Exchange functions. We have a program designed just for guests to enjoy Minneapolis during the conference.  And don't forget about the post-conference tour -- a great opportunity to see Target Field, new home of the Minnesota Twins.

Can my company purchase additional registrations?
Of course. And additional exhibitor registrations are at a greatly reduced rate compared to the non-exhibitor registration prices.

Can exhibitors register with expo hall coupons?
No. The expo hall coupons we send to exhibitors are only to be used for prospective customers and leads for your products and services. If someone from the XYZ Co. tries to use an expo pass requested by the XYZ Co., it will not be valid.

Can exhibitors purchase expo hall passes?
Anyone can purchase an expo hall pass. ($50/members or $75/nom-members per day.) However, if someone from an exhibiting company purchases an expo hall pass, that person will not be registered as an exhibitor. (Only as an expo hall walk-in.) They will not have the privileges of registered exhibitors, like exhibitor badges and ribbons and access to the hall when it's closed.

Get Your Booth Ready

Every exhibitor is going to need to send in their forms for carpet, electricity, material handling, etc. Hargrove Inc. is the official contractor for Exchange 2012, and they   have online exhibitor manuals with all the information and order forms you need. Click here to access the exhibitor manual for Exchange 2012. The show code is 5027422. Note that the deadline for the advance rates is Feb. 10, 2012.
